Could someone tell me how to do the above in a simple, idiot-proof bullet point manner. It would be much appreciated!

It depends on which email program you are using.
If you are using MS Office then you can use Outlook.
You need two files:
The primary - contains the letter or email text
The secondary file or table contains the email addresses
